Your details, looked after.
What we collect, why, who sees it and how long we keep it. No jargon; if anything here isn't clear, just ask.
1. Who we are
Sussex Airlink, 2 Warner Road, Worthing BN11 4HP, is responsible for the personal information described here. Questions about your data go to contact@sussexairlink.co.uk or 01903 331 333.
2. What we collect
- To arrange a journey: your name, mobile number, email, pickup and drop-off addresses, dates and times, flight numbers, how many passengers and cases, and anything you ask for, such as child seats (with the children's ages) or a female driver.
- Payment: card payments are handled by our payment provider. We never see or store your full card number.
- Help you ask for: if you tell us about a disability, mobility needs or a medical condition so we can help, for example a wheelchair or a slower pace.
- What you send us by phone, text, WhatsApp or email, and any feedback or reviews.
- Business and crew accounts: company name, contact names, billing details and travel schedules.
- If you ask to hear when we launch, or for rail-strike alerts: your mobile number or email.
3. Why we use it
- To arrange and carry out your journey, track your flight, and send the night-before and on-the-way messages. This is needed to provide the service you asked for.
- To keep the booking records our private hire operator licence requires, and the invoices and accounts tax law requires.
- To deal with questions, complaints, lost property and insurance claims. This is in our legitimate interest, and yours.
- To send marketing, like our launch text, offers and rail-strike alerts, only if you've asked for it.
- Health or assistance details you choose to tell us: only to plan your journey, with your permission, which you can withdraw at any time.
4. Who sees it
- The driver doing your journey: your name, number, pickup, destination, flight and any notes they need, for that journey only.
- Companies that run our systems for us: booking and dispatch software, our card payment provider, phone, text and WhatsApp services, email, and our website host, Wix. They may only use your details to provide their service to us.
- Our accountant, for invoices and tax records.
- The council that licenses us, the police or insurers, when the law requires it or to deal with a claim.
We never sell your details, and we never share them for anyone else's marketing.
5. Outside the UK
Some of these providers, such as WhatsApp and Wix, may store information outside the UK. When they do, they use the safeguards UK data protection law requires.
6. How long we keep it
- Booking records: for as long as our operator licence requires, then deleted.
- Invoices and accounts: six years, for tax.
- Health or assistance notes: deleted with the booking record, or sooner if you ask.
- Launch list and alerts: until you ask us to stop. If you gave us your number only to hear when we launch and don't travel with us, we delete it six months after launch.
- Messages and emails: up to two years, unless they're part of a booking record or a complaint.
- Driver applications that don't go ahead: six months.
7. Your rights
You can ask for a copy of your information, ask us to correct or delete it, ask us to stop or limit how we use it, or ask for it in a form you can take elsewhere. You can withdraw your permission for anything based on consent at any time. Email contact@sussexairlink.co.uk and we'll reply within one month, free of charge. If the law requires us to keep something, we'll tell you.
8. Marketing messages
Every marketing text or email tells you how to stop. Reply STOP or email us and you're off the list straight away. Messages about a journey you've booked, like your driver's details, aren't marketing and still come with each trip.
9. Children
When children travel with the adult who booked, the only thing we ask about them is their age, so we fit the right seat.
If a parent, guardian or school books a journey for a child travelling without them, we hold the child's name, age, school and travel details, and the contact details of the people we're asked to keep updated, and we use them only to carry out that journey.
10. Our website and cookies
Our website doesn't use analytics or advertising cookies, and it doesn't track you across other sites. Our host, Wix, processes technical information such as your IP address to deliver the pages and keep them secure. If we ever add analytics or advertising tools, we'll ask for your consent first.
11. If you apply to drive with us
We'll ask for your licence details, DBS check, driving history and references, to decide whether to work together and to meet our licensing conditions. We share them with the licensing council where that's required.
12. Keeping it safe
Bookings live in password-protected systems. Drivers see only what they need, for the journey they're doing, and everyone on the team keeps customer details inside the business.
13. Complaints
If you're unhappy with how we've handled your information, tell us first and we'll put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

If we change this notice, we'll update the date below. Last updated 28 September 2026.
